WHAT DO I COVER IN A KEYNOTE TALK ABOUT SCENARIO PLANNING?

Having worked with, observed, and studied the services and talks of Clem Sunter and Chantell Ilbury, I have a very deep appreciation for scenario planning and a methodological approach to making decisions today that will help improve all of our chances of success tomorrow—both at the office and at home.

The typical talk would include an introduction to Scenario Planning, covering the definition of Scenario Planning and its purpose in strategic decision-making. I will then try to explain its distinction from traditional forecasting methods and its role in handling uncertainty.

I then move on to discussing the importance of Scenario Planning and cover why organizations (and even families) need to prepare for multiple possible futures rather than relying on a single forecast. This is more important in this day and age, as leadership and government are becoming more and more decentralized, making each of our homes and businesses a force for change at a micro level. I highlight real-world examples where the lack of scenario planning led to setbacks (e.g., business disruptions, market changes, and I love to chat about COVID and the just energy transition).

Next, I will discuss the Scenario Planning Process. While this differs based on the facilitator, I will outline the key steps in developing scenarios, for example: identifying the scope and focus—what critical issues or decisions are being addressed? Then I will cover how to gather information by collecting data on trends, uncertainties, and key factors that can impact the future, explaining that this is a full-time, nonstop task.

Then I will talk about how a business or head of family might go about identifying critical uncertainties, focusing on factors that are unpredictable but can significantly influence outcomes. I will then discuss how one might go about developing scenarios by creating detailed narratives (storytelling) around plausible future states based on combinations of uncertainties. Finally, I will explain the last part of the process, which is analyzing scenarios—how and why we evaluate the implications of each scenario for strategic planning and decision-making.

It’s important for me to mention that a keynote talk is not a strategy session, and that is an entirely separate service I offer, where we go about developing action plans to formulate strategies that can be adapted based on different scenarios.

In my talk, I will touch on the characteristics of effective scenarios and discuss the attributes of good scenarios, including being plausible, challenging, divergent, and relevant. I will also cover some Scenario Planning tools and techniques. For example, I will introduce various tools that can assist in the scenario planning process, such as SWOT analysis, PESTEL analysis (Political, Economic, Social, Technological, Environmental, and Legal), cross-impact analysis, and the use of visualization techniques to present scenarios effectively.

I will also try, if time allows, to cover some case studies applicable to the audience and, whenever possible, present successful examples of organizations that have effectively used scenario planning to navigate uncertainties (e.g., Shell, the military, and healthcare organizations).

It is also important to touch on the challenges and limitations of scenario planning, addressing potential challenges in the scenario planning process, such as biases, group think, and resistance to change.
