A friend of mine from Pretoria, currently sitting in very cold Germany, asked me if I know anything about PEPPOL. Do you? I think you should…
Peppol stands for Pan-European Public Procurement Online and is meant to be a secure network that helps businesses and governments share standard electronic documents, especially e-invoices. In other words, one of the main benefits of Peppol is that it allows documents to be sent smoothly (assuming your internet connection and PC are behaving) between different software systems, making it essential in today’s global economy. So you can imagine that could be rather helpful?
HOW DOES IT WORK?
Let me introduce the 4-Corner Model. Peppol uses a special 4-Corner Model to simplify connections. Now pay attention; this sounds complicated. Instead of having direct links between each sender and receiver, both parties connect to the Peppol network through their own certified Access Points. This is like how a mobile network works; if you have an account with one service provider, you can connect with any other provider in the network. Still following? Good.
Next, let’s discuss Standardized Formats. Their network uses Peppol BIS (Business Interoperability Specifications) to create standard document formats. This means all electronic documents can be read by machines right away, allowing for quick processing without manual data entry. This is meant to make business operations more efficient.
Now let’s bring it home and talk about the impact on South African businesses in 2026. Currently, using Peppol is not required in South Africa, but it is important for the country’s modernization efforts, so maybe it’s inevitable or something similar? So, good to know, perhaps, that the South African Revenue Service (SARS) is creating a 5-Corner Peppol system for real-time VAT reporting. In this system, SARS will act as a fifth “corner,” letting the tax authority see transaction data as it happens. This real-time tracking is expected to improve tax compliance and make collecting revenue easier.
The upcoming Tax Administration Laws Amendment Bill (TALAB) of 2025 is likely to set the stage for required e-invoicing. South African businesses should get ready for this change, as full implementation is planned for 2028 or later, starting with larger businesses and eventually including smaller ones. Several European countries, like Belgium, will require B2B e-invoicing through Peppol starting January 1, 2026. South African businesses that export to or work in these areas must adopt Peppol to stay compliant. This is crucial to avoid payment delays or penalties.
So other than what I have shared, what are the operational benefits are there? (Other than SARS seeing all and knowing all?)
Fraud Reduction? Peppol increases security by verifying the identities of the invoicing parties, which lowers the risk of fraud compared to traditional email invoices that can be intercepted and tampered with. I am going to love this for South African Tender Payments.
Increased Efficiency: By standardizing documents, Peppol cuts down on manual data entry, reducing errors and speeding up the payment cycle. This is especially helpful for businesses that deal with many transactions.
Expanded Market Access: Businesses in South Africa that use Peppol early will be better positioned to trade with over 42 countries already using the network for electronic commerce.
NEXT STEPS FOR YOUR BUSINESS?
South African businesses could get a jump on this, giving them an edge over their competitors, and work on ensuring that their accounting and Enterprise Resource Planning (ERP) systems can connect to a Peppol Access Point. Putting time and resources into this upgrade will help them get ready for upcoming changes in legislation and take advantage of new opportunities in international trade and efficiency. You need to connect to the global network through a certified Peppol Access Point (PAP) provider, like Storecove or Qvalia, who handle the technical setup, allow you to register your business, provide a unique Peppol ID, and integrate with your accounting/ERP system for compliant e-invoicing and data exchange. The PAP acts as an intermediary, making it easy to send and receive electronic documents following Peppol standards, even though it’s a European standard.
